This Shipping & Delivery Policy explains how delivery is managed for orders placed through Kokok Shop.

Kokok Shop operates as an online marketplace connecting Buyers with independent Sellers and Vendors.

Unless otherwise expressly stated, shipping and delivery arrangements are the responsibility of the Seller or Vendor fulfilling the order.

Kokok Shop does not directly operate a courier or logistics service.

1. Seller Responsibility for Shipping

Each Seller is responsible for arranging the shipment or delivery of products sold through Kokok Shop.

Depending on the product and delivery location, Sellers may use:

  1. Courier companies;
  2. Logistics providers;
  3. Same-day delivery services;
  4. Local delivery riders;
  5. Seller's own delivery personnel;
  6. Self-arranged transportation;
  7. Livestock transportation services; or
  8. Other appropriate delivery methods.

The Seller is responsible for selecting a delivery method suitable for the product being shipped.

2. Kokok Shop's Role

Kokok Shop provides the marketplace platform through which Buyers and Sellers conduct transactions.

Unless otherwise specifically stated for a particular service, Kokok Shop:

  1. Does not physically handle products;
  2. Does not pack Seller products;
  3. Does not operate the courier transporting the order;
  4. Does not determine courier routes;
  5. Does not directly control delivery schedules; and
  6. Does not guarantee the performance of independent logistics providers.

However, Kokok Shop may assist Buyers and Sellers in resolving delivery-related disputes where appropriate.

3. Seller's Shipping Obligations

After receiving a confirmed order, the Seller is responsible for:

  1. Reviewing the order promptly;
  2. Preparing the correct products;
  3. Packaging products appropriately;
  4. Selecting a suitable delivery method;
  5. Arranging shipment within the applicable processing period;
  6. Providing accurate shipment information;
  7. Providing a tracking number where available;
  8. Updating the order or shipping status;
  9. Providing appropriate documentation where required; and
  10. Taking reasonable steps to ensure successful delivery.

The Seller remains responsible for the fulfilment of the order until delivery has been completed in accordance with this Policy.

4. Shipping Charges

Shipping charges may be determined by the Seller based on factors including:

  1. Delivery destination;
  2. Product weight;
  3. Parcel dimensions;
  4. Courier charges;
  5. Delivery method;
  6. Product type;
  7. Special handling requirements;
  8. Temperature-controlled delivery;
  9. Live animal transportation; and
  10. Other logistical requirements.

Shipping costs should be displayed to the Buyer before the order is confirmed where technically available.

Where a delivery charge must be confirmed manually, the Seller must clearly communicate the applicable charge before proceeding with delivery.

5. Seller Processing Time

Sellers should process confirmed orders within a reasonable period.

Processing time may vary depending on:

  1. Product availability;
  2. Product preparation requirements;
  3. Seller operating hours;
  4. Courier pickup schedules;
  5. Public holidays;
  6. Product type; and
  7. Special delivery requirements.

Sellers are responsible for ensuring that any estimated preparation or dispatch time displayed on their product listing is reasonably accurate.

6. Tracking Information

Where a trackable courier or delivery service is used, the Seller should provide the Buyer with the relevant:

  1. Tracking number;
  2. Courier name;
  3. Shipment reference; or
  4. Other available tracking information.

Sellers should enter or update tracking information within Kokok Shop where the Platform provides this functionality.

Providing false or misleading tracking information is prohibited.

7. Proof of Shipment

Kokok Shop may require a Seller to provide proof that an order has been shipped.

Acceptable evidence may include:

  1. Courier tracking records;
  2. Consignment notes;
  3. Delivery receipts;
  4. Courier pickup confirmation;
  5. Parcel photographs;
  6. Shipping labels;
  7. Delivery service records; or
  8. Other reasonable evidence.

Failure to provide reasonable proof of shipment may affect Seller settlement or the outcome of a dispute.

8. Proof of Delivery

For the purpose of completing a marketplace transaction, evidence of successful delivery may include:

  1. Courier tracking showing "Delivered";
  2. Delivery confirmation through the Platform;
  3. Proof of Delivery (POD);
  4. Recipient signature;
  5. Delivery photograph;
  6. Buyer confirmation;
  7. Delivery service records; or
  8. Other reliable evidence showing that the order was delivered.

Kokok Shop may review available evidence where delivery is disputed.

9. Release of Payment to Seller

Payments received from Buyers through Kokok Shop may be temporarily held or recorded as pending settlement until the transaction is completed.

Seller payment will generally be eligible for release only after the order has been successfully delivered or otherwise confirmed as completed.

The exact settlement process may depend on:

  1. Delivery confirmation;
  2. Platform order status;
  3. Applicable holding period;
  4. Payment gateway processing;
  5. Buyer disputes;
  6. Refund requests;
  7. Chargebacks;
  8. Seller account status; and
  9. Other applicable marketplace requirements.

10. Delivery Completion

An order may be treated as completed where:

  1. The Buyer confirms receipt;
  2. The courier tracking confirms successful delivery;
  3. Valid proof of delivery has been provided;
  4. The Platform automatically marks the order completed after the applicable confirmation period; or
  5. Kokok Shop determines based on available evidence that delivery has been successfully completed.

Once the transaction is treated as completed and no unresolved dispute exists, settlement may proceed to the Seller.

11. Payment Hold During Disputes

Kokok Shop may temporarily withhold or delay Seller settlement where:

  1. The Buyer reports non-delivery;
  2. Delivery is disputed;
  3. The wrong product was delivered;
  4. Products are damaged;
  5. Products are missing;
  6. A refund request is pending;
  7. Fraud is suspected;
  8. Tracking information appears invalid;
  9. A chargeback is received; or
  10. Further investigation is reasonably required.

The disputed amount may remain on hold until the matter is resolved.

12. Self-Delivery by Seller

Sellers may use their own delivery personnel or vehicles where appropriate.

For Seller-arranged delivery, the Seller remains responsible for:

  1. Ensuring the correct order is delivered;
  2. Obtaining appropriate proof of delivery;
  3. Maintaining delivery records;
  4. Complying with relevant transportation requirements; and
  5. Resolving legitimate delivery problems.

Where possible, Sellers should obtain confirmation from the Buyer when delivery is completed.

13. Buyer Responsibilities

Buyers are responsible for providing accurate delivery information, including:

  1. Recipient name;
  2. Mobile telephone number;
  3. Complete delivery address;
  4. Postcode;
  5. Building or unit number;
  6. Delivery instructions; and
  7. Any relevant access information.

The Buyer should ensure that the recipient can be contacted and that someone is available to receive the order where necessary.

14. Incorrect Delivery Information

Kokok Shop and the Seller are not responsible for delivery problems caused primarily by incorrect or incomplete information provided by the Buyer.

Where redelivery is required due to incorrect Buyer information, additional shipping charges may apply.

For perishable or customised products, a refund may not be available where delivery fails because the Buyer supplied incorrect information and the product can no longer reasonably be resold.

15. Failed Delivery Attempts

A delivery may fail where:

  1. The recipient is unavailable;
  2. The Buyer cannot be contacted;
  3. The delivery address is incorrect;
  4. Access to the delivery location is unavailable;
  5. The Buyer refuses delivery without valid reason; or
  6. Another circumstance prevents completion.

The Seller or courier may attempt redelivery depending on the applicable delivery arrangement.

Additional charges may apply for subsequent delivery attempts.

16. Delivery Delays

Estimated delivery dates and times are not guaranteed unless expressly stated otherwise.

Delays may occur because of:

  1. Courier operations;
  2. Traffic;
  3. Weather;
  4. Floods;
  5. Road closures;
  6. Public holidays;
  7. High delivery volumes;
  8. Remote delivery locations;
  9. Product preparation;
  10. Vehicle breakdowns;
  11. Regulatory restrictions;
  12. Biosecurity measures;
  13. Force majeure events; or
  14. Other circumstances beyond reasonable control.

Sellers should inform Buyers of significant known delays where reasonably possible.

17. Lost Shipments

If a shipment appears to be lost, the Seller is responsible for contacting the selected courier or delivery provider to investigate the shipment.

The Seller should cooperate with Kokok Shop and the Buyer by providing relevant shipping information.

Where the shipment is confirmed lost before successful delivery, the transaction may qualify for:

  1. Replacement;
  2. Redelivery;
  3. Refund; or
  4. Another appropriate resolution.

Payment to the Seller may remain on hold until the issue is resolved.

18. Damaged During Shipping

The Seller is responsible for ensuring that products are packaged appropriately for the selected delivery method.

Where an item arrives damaged, Kokok Shop may consider:

  1. Product photographs;
  2. Packaging condition;
  3. Courier evidence;
  4. Seller packaging practices;
  5. Buyer evidence; and
  6. Delivery records.

Responsibility may be determined based on the circumstances of the delivery.

Where applicable, the Seller may need to pursue a compensation claim directly with the courier used by the Seller.

19. Packaging Responsibility

The Seller is responsible for appropriate packaging of products.

Packaging should be suitable for:

  1. Product weight;
  2. Product fragility;
  3. Delivery distance;
  4. Weather exposure;
  5. Food safety;
  6. Temperature requirements;
  7. Leakage prevention; and
  8. Reasonably foreseeable shipping conditions.

Insufficient packaging may result in the Seller being responsible for damage occurring during normal delivery handling.

20. Fresh and Perishable Products

Sellers shipping fresh or perishable products must use a delivery method appropriate for the nature of the product.

This may include:

  1. Same-day delivery;
  2. Insulated packaging;
  3. Ice packs;
  4. Temperature-controlled transportation;
  5. Appropriate food-grade packaging; or
  6. Other suitable methods.

Sellers should avoid using a shipping method that creates an unreasonable risk of spoilage.

21. Frozen Products

Frozen products should be appropriately packaged to minimise thawing during normal delivery.

The Seller is responsible for considering:

  1. Delivery duration;
  2. Packaging insulation;
  3. Temperature requirements;
  4. Ice packs or other cooling materials;
  5. Courier suitability; and
  6. Destination.

Sellers should clearly disclose any relevant storage instructions to Buyers.

22. Eggs and Fragile Products

Eggs and other fragile products must be packaged appropriately to reduce the risk of breakage.

The Seller should use suitable protective materials and packaging based on the chosen transportation method.

Claims involving breakage will be handled in accordance with the Kokok Shop Refund, Return & Cancellation Policy.

23. Shipping of Live Animals and Livestock

Shipping or transportation of live poultry, birds, livestock or other animals requires special care.

The Seller is fully responsible for arranging an appropriate transportation method and complying with applicable:

  1. Animal welfare requirements;
  2. Veterinary requirements;
  3. Animal movement controls;
  4. Biosecurity requirements;
  5. Transportation requirements;
  6. Permit requirements; and
  7. Other regulatory obligations.

Sellers must not use a normal parcel courier where the courier's terms prohibit transportation of live animals.

24. Animal Welfare During Transportation

Where live animals are transported, the Seller should take reasonable measures to ensure:

  1. Suitable ventilation;
  2. Sufficient space;
  3. Appropriate containers or cages;
  4. Reasonable transport duration;
  5. Protection from excessive heat or weather;
  6. Appropriate handling; and
  7. Compliance with applicable animal welfare requirements.

Kokok Shop reserves the right to restrict Sellers who repeatedly use unsafe or inappropriate transportation methods.

25. Delivery Restrictions

Certain products may not be available for delivery to all locations.

Restrictions may apply due to:

  1. Courier limitations;
  2. Product regulations;
  3. Animal movement restrictions;
  4. Geographic coverage;
  5. Product perishability;
  6. Seller delivery area;
  7. East Malaysia shipping restrictions;
  8. Remote area limitations; or
  9. Other logistical reasons.

Sellers are responsible for determining whether they can legally and practically deliver an item to the Buyer's destination before fulfilling the order.

26. Local Pickup / Self-Collection

Where offered by the Seller, Buyers may choose to collect an order directly from the Seller's designated location.

For self-collection:

  1. The Seller should provide appropriate collection information;
  2. The Buyer may be required to show the order number or verification information;
  3. The Seller should confirm collection through the Platform where possible; and
  4. Collection confirmation may be treated as proof of successful fulfilment.

After successful collection, the order may become eligible for Seller settlement.

27. Delivery Status

Sellers are responsible for keeping order delivery status reasonably accurate.

Typical statuses may include:

  1. Processing;
  2. Ready for Shipment;
  3. Shipped;
  4. Out for Delivery;
  5. Delivered; and
  6. Completed.

A Seller must not deliberately mark an order as delivered before delivery has actually occurred.

28. False Delivery Confirmation

Falsifying delivery information, tracking numbers or proof of delivery is prohibited.

Where Kokok Shop suspects false delivery confirmation, it may:

  1. Hold Seller settlement;
  2. Investigate the transaction;
  3. Reverse settlement where legally and technically possible;
  4. Suspend the Seller account;
  5. Restrict marketplace privileges; or
  6. Take other appropriate action.

29. Buyer Disputes

If a Buyer believes that an order has not been successfully delivered, the Buyer should report the issue promptly through the available Kokok Shop support or dispute mechanism.

Kokok Shop may request information from both the Buyer and Seller before determining the appropriate resolution.

30. Seller-Courier Relationship

Where a Seller independently selects a courier or logistics provider, the contractual relationship with that courier is generally the responsibility of the Seller.

The Seller is responsible for:

  1. Booking the shipment;
  2. Paying courier charges;
  3. Communicating with the courier;
  4. Investigating courier issues;
  5. Filing courier claims; and
  6. Obtaining compensation from the courier where applicable.

A dispute between the Seller and courier does not automatically remove the Seller's responsibility to fulfil obligations to the Buyer.

31. Shipping Insurance

Sellers are encouraged to consider appropriate shipping insurance, particularly for:

  1. High-value products;
  2. Fragile products;
  3. Large shipments; and
  4. Products at higher risk of loss or damage.

Unless expressly offered by Kokok Shop, shipping insurance is arranged directly between the Seller and the relevant courier or logistics provider.

32. Shipping Costs Following Refund or Replacement

Where a refund, replacement or return arises because of:

  1. Seller error;
  2. Incorrect product;
  3. Product defect;
  4. Inadequate packaging;
  5. Non-delivery; or
  6. Another issue attributable to the Seller,

the Seller may be responsible for reasonable additional delivery or return costs.

Where the issue results primarily from Buyer error or a voluntary change of mind, additional shipping charges may be borne by the Buyer, subject to applicable law and marketplace policies.

33. Kokok Shop Seller Settlement

Successful delivery alone does not necessarily mean that funds must be released immediately.

Settlement may remain subject to:

  1. Applicable transaction completion periods;
  2. Payment gateway settlement;
  3. Refund periods;
  4. Active disputes;
  5. Chargebacks;
  6. Fraud review;
  7. Marketplace commissions;
  8. Service fees;
  9. Adjustments; and
  10. Other amounts properly payable under the Seller agreement.

Once all applicable conditions have been satisfied, Kokok Shop will process the Seller's eligible settlement according to the applicable marketplace payout arrangements.

34. Compliance with Applicable Law

Sellers are responsible for ensuring that products are transported and delivered in accordance with applicable Malaysian laws and regulations.

This includes any specific requirements applying to food, livestock, agricultural products, controlled items or other regulated products.

35. Changes to This Policy

Kokok Shop may update this Shipping & Delivery Policy from time to time to reflect:

  1. Changes to marketplace operations;
  2. New delivery methods;
  3. New product categories;
  4. Regulatory requirements;
  5. Payment settlement arrangements; or
  6. Other operational changes.

The latest version will be published on the Kokok Shop Platform.

Please provide:

  1. Order number;
  2. Relevant tracking information;
  3. Description of the issue; and
  4. Supporting evidence where applicable.
